The employers are an Oil & Gas company based in Limassol, Cyprus and are currently looking for a PA / Office Administration Assistant to join their team.

The Position

PA / Office Administration Assistant

Responsibilities

  • Responsible for office daily requests, such as coffees, equipment, packages delivery
  • Creating Delivery and Return tickets
  • Contacting customers weekly with regards to their invoices’ payments / updates / signatures
  • Packaging up all needed rental info for accounting (DT/RT, Trucking cost responsibility, POs)
  • Petty cash Control
  • Scheduling trucks for on/off rent requests
  • Data Entry to company’s system
  • Communicating with Logistic companies, with regards to orders and clients’ updates
  • Tracking logistics projects (sea freight) and updating operations management of changes
  • Inspection of company’s assets and communicating status and parts requirements to Cyprus office
  • Reviewing and verifying agent on/off rent reports (Their report vs GPS tracking report)
  • Reviewing logistics invoices and assigning costs to the client or company
  • Ensuring all costs are captured correctly / Invoicing / PO
  • Contacting customers weekly requesting invoicing updates (payment, additional needs, etc)
  • Completing CC reports

Desired Qualifications /Experience

  • Degree or Diploma in Secretarial / Administration / Oil & Gas or in a related field
  • Minimum of 1 year’s previous experience in a similar role
  • Fluency in English, both verbal and written is a must
  • Computer Literate (MS Office)
  • Attention to Detail
  • Excellent communication and negotiation skill
